Facilities Use & Fees

Information regarding the process, current fee schedule, and terms and conditions for requesting use of District facilities can be found below. This includes additional information specific to athletic field use and summer rentals. 

All renters are responsible for following all COVID-19 protocols issued by the CDC, California Department of Public Health, San Mateo County, and California Department of Education.

Facilitron: Rental Reservation Management System

Belmont-Redwood Shores School District has transitioned to a new online facility request and rental management system, Facilitron. Using Facilitron, reservation requests are submitted and managed fully online. Renters are able to see real-time availability of the District’s facilities, get estimated quotes, and have the option to pay online.  While the process for requesting, approving, and managing facility rental requests is now fully digital and centralized via our partnership with Facilitron, all processes and policies remain consistent with the Belmont-Redwood Shores School District’s board policies on facilities use. The District’s administrative staff issue final determinations regarding approval or denial of all facility use requests. 

Facilitron will assist with the set-up of organization and user accounts along with verification of non-profit status (if applicable). Facilitron will also collect payment and proof of insurance (certificate of insurance) on Belmont-Redwood Shores School District’s behalf.  Payments can be submitted conveniently on Facilitron. Payment options include major credit cards, checks, ACH/eCheck, and Paypal. Proof of insurance (certificate of insurance) can also be conveniently uploaded into the system, and/or it can be obtained directly through Facilitron.

The new Facilitron system is now live for all sites. To request the use of a District facility, renters must create a Facilitron account and submit their request online. How Facilities Use/Rental Requests are Approved with Facilitron

Note: 

• Requests must be made 14 calendar days in advance of the desired date(s) of use. 

• Proof of insurance in accordance with the Terms and Conditions must be uploaded by the renter prior to District approval.

• Throughout this process, renters may check on the status of their request directly through Facilitron.

Facility Use/Rental Fees

Groups who meet the following criteria may request an exemption to the fee schedule for a requested reservation. To be considered for an exemption, a group must be all of the following:

  • a local chapter of a national nonprofit organization, 

  • whose activities are entirely volunteer run, AND

  • whose activities primarily serve currently enrolled BRSSD students.

Requests for exemptions must be submitted in writing and can be submitted with the Facilitron reservation request. Exemptions are considered on a per-reservation basis. Exemptions may be granted or revoked at the District's discretion. 

Terms and Conditions for Facilities Rentals

Athletic Field Use

Belmont Schools:  

  • The City of Belmont has a license to schedule the athletic fields at Central Elementary School, Fox Elementary School, Nesbit Elementary School, and Ralston Middle School during all non-school hours, and is responsible for scheduling third-party use.

  • The athletic field located adjacent to Cipriani Elementary School is owned and operated by the City of Belmont.

Redwood Shores Schools:

  • The athletic field located at Redwood Shores Elementary School is owned and operated by the Belmont-Redwood Shores School District subject to the District’s facility use process and fees.

  • The athletic field located adjacent to Sandpiper Elementary School is owned and operated by the City of Redwood City. For more information, please call 650-780-7311.

Summer Rentals

As with other rental requests, summer rentals must be requested through Facilitron. The District typically begins considering requests for summer rentals around mid-spring. This is because the availability of District facilities for summer rentals is determined by several factors:

  • The instructional calendar for the upcoming year, typically not finalized until mid-spring

  • Space needs for the District’s own summer programming

  • Existing joint use agreements with the City of Belmont and the City of Redwood City
